A starting point for how you can inform your patients about Nextvisit AI with respect to patient consent.

1. Review Your Current Consent Forms

  • Identify Appropriate Sections: Locate the section(s) in your existing consent forms where information about data usage, privacy, or patient consent is discussed.

  • Determine Placement: Decide whether the consent statement will be a new standalone section or incorporated into an existing section.

2. Customize the Consent Statement

Below is a patient-friendly consent statement that you can adapt for your patient forms:

I understand that my provider uses Nextvisit AI, a secure tool that helps document my care by creating clinical notes from our conversation. This allows my provider to focus more on me during my visit. I consent to the audio recording of my visit solely for this purpose. I know that my privacy is protected, and this recording is only used to improve my care.

3. Tailor to Your Practice

Review Your Current Consent Forms

  • Ensure Clarity: Keep the language simple and at a reading level accessible to all patients (approximately 6th-grade level).

  • Consult Legal Counsel: Before finalizing the consent statement, have it reviewed by legal professionals to ensure compliance with HIPAA, state laws (e.g., New York State laws if applicable), and any other relevant regulations.

  • Include Required Legal Notices: Add any additional notices or disclaimers required by law.

  • Update Your Forms: Insert the Consent Statement: Add the customized consent statement into your forms in the predetermined section.

  • Formatting Consistency: Ensure the new text matches the formatting of your existing document for a professional appearance.

Educate Your Staff

  • Training: Inform your team about the updated forms and the purpose of the consent statement so they can confidently address any patient questions.

  • FAQs: Provide staff with copies of the Patient FAQs Handout to assist in patient interactions.

Implement and Monitor

  • Roll Out the Updated Forms: Begin using the updated consent forms with all new and returning patients.

  • Collect Feedback: Encourage staff to share any patient feedback or concerns to

continually improve the process.
